Who we are

This privacy policy explains what personal data planramp.com processes, why, and what rights you have over it. The company responsible for that processing, known as the data controller, is named in the company details section below.

Planramp is a technology platform for trade businesses. This policy covers the marketing website at planramp.com only. It does not cover any processing a tradesperson carries out in relation to their own customers, which is not something this website does.

What personal data we process, and why

This website processes personal data in three ways. The first is the technical data generated automatically when a browser requests a page: an IP address, browser and device information, and the pages requested. This is processed by our hosting infrastructure to operate, secure and troubleshoot the website, which is a legitimate interest we rely on as our legal basis.

The second is website analytics. We use Google Analytics to measure how the site is used, which involves setting cookies in your browser and sending Google information about the pages you view, roughly where in the world you are, and the sort of device and browser you use. We also use Microsoft Clarity, which records how you interact with a page: the places you click, the way your cursor moves, how far you scroll, and a replay of the visit that we can watch back. It is a recording of what happens on our own pages, not of anything else you do, and we do not use it to identify you. Our legal basis for both is our legitimate interest in knowing whether these pages are useful and where they confuse people. The cookies section below says what they do and how to refuse them.

The third is the onboarding application at planramp.com/start. If you complete it, we process what you tell us about your business (its trading name, its type, your main trade, how long you have been trading, the postcode areas you cover, the size of your team, roughly how many customers are on your books, where their details are kept, whether you already offer a regular service, whether you would like to offer your customers finance on larger jobs, whether you offer anything like that today and the name of the provider if you use one), what you tell us about the plan you would sell (a description in your own words, a rough monthly price and how many customers you expect in the first year), and how to reach you (your name, your email address and your mobile number).

Our legal basis for the application is that the processing is necessary to take steps at your request before entering a contract. You send us the application and we answer it, which is the whole of the arrangement. Deciding whether Planramp is a fit for your business is our legitimate interest in choosing who we take on, and you can object to that at any time using the contact details in the company details section below.

We use it to decide whether Planramp is a fit for your business, to prepare for the call you book, and to contact you about that application. We do not use it for anything else, and we do not use it to make an automated decision about you.

When you send the application we also record the IP address and the browser information of the device you sent it from, and both appear in the notification we receive. We do this to tell a real application from an automated or abusive one, which is a legitimate interest we rely on as our legal basis. This is the same technical data described above, and the difference worth stating is that here it sits alongside your name rather than on its own. It is not stored with the application itself, it is not used to build a profile of you, and it is not passed to the analytics described above or to anyone else for measurement.

The application also asks whether you would like to be listed on the Planramp catalogue when it opens. That is a preference we record and act on later; it is not a decision about you and it changes nothing about your account or your prices.

The financing questions work the same way. What you tell us there is a stated interest in offering your customers a way to spread the cost of a larger job, and what you do about that today. It is not a credit application, it is not passed to a lender, and no credit check of any kind is carried out on you or on anyone else because of it. We use it to understand what to build and to know what to talk about on the call.

Cookies

This website uses Google Analytics, loaded through Google Tag Manager, to understand how the site is used. It sets cookies in your browser that let us tell one visit from another and recognise a browser that has been here before. What we look at is which pages are read, how people arrive, and where they stop. We do not use it to identify you, we do not use it for advertising, and we do not combine it with anything you send us through the onboarding application.

This website also uses Microsoft Clarity, loaded the same way, which may set cookies or store similar identifiers in your browser so that it can tell one visit from another and stitch a session recording together. What it records is described in the section above.

Our legal basis for both is our legitimate interest in knowing whether the pages we write are useful. You can refuse them. Every browser can block or delete cookies from its settings, Google publishes a Google Analytics opt-out add-on that stops that measurement across every site that uses it, and Microsoft publishes the same for Clarity. You can also object to either use at any time using the contact details in the company details section below.

One page loads cookies set by someone else. When you reach the final step of the onboarding application, a booking calendar from Calendly, a separate company, loads inside that page so you can pick a time without leaving it. Calendly sets its own cookies when it loads, and it also loads services of its own, including ZoomInfo, which sets a visitor identifier. None of that is ours and none of it is used for our analytics. Calendly asks you about its own cookies inside the calendar, and what it does with them is governed by its privacy policy rather than this one. No other page on this website loads a third-party calendar or widget, and if you would rather not use this one, you can contact us using the details below and arrange a time by email instead.

Cloudflare Turnstile runs on the final step of the application to check that a form is being completed by a person rather than a script. It is a security measure on a form you are already completing, it does not track you across sites, and it is not used for advertising.

Who we share data with

The technical data described above is processed on our behalf by the infrastructure providers that host this website, to the extent necessary to deliver it to your browser. We do not sell personal data, and we do not share it with any other organisation for their own marketing purposes.

The analytics data described above is processed by Google Ireland Limited, which provides Google Analytics and Google Tag Manager to us and processes it on our behalf under Google's data processing terms, and by Microsoft Corporation, which provides Clarity and receives the interaction recordings on the same footing. Both are separate services with their own privacy policies. They receive the analytics data and nothing else: neither receives an onboarding application, and no application is linked to either.

A completed onboarding application reaches three further recipients, and no others. Vercel Inc. stores it: the application is held as a private file in Vercel Blob, which means it is not reachable by anyone holding a link and can only be retrieved with our own credentials. Resend (Plunk Software Ltd) carries it to us by email so that we read it before the call, and that email is also where the IP address and browser information described above appear. Calendly LLC receives whatever you enter into the booking calendar if you choose to open it, and that is a separate service with its own privacy policy and its own cookies.

Every page carries a button that starts a WhatsApp conversation with us. WhatsApp is provided by Meta Platforms Ireland Limited, a separate company with its own privacy policy, and pressing that button opens WhatsApp rather than sending anything from this website. If you use it, Meta handles your phone number and the messages you send in the same way it handles any other WhatsApp conversation, and we receive the messages you send us and reply to them. Nothing reaches Meta until you choose to start that conversation, and you are welcome to email us instead using the details below.

Vercel, Resend, Calendly, Google, Microsoft and Meta each process personal data outside the United Kingdom, including in the United States. Where that happens we rely on the UK International Data Transfer Addendum to the European Commission standard contractual clauses, or on UK adequacy regulations where they apply to the receiving organisation, together with the supplier's own technical and organisational measures.

International transfers

Our hosting infrastructure may process data outside the country you are in. Where that happens outside the United Kingdom or the European Economic Area, we rely on the safeguards recognised by data protection law, such as an adequacy decision or standard contractual clauses.

How long we keep data

We keep the technical data described above for no longer than necessary for the purposes described, after which it is deleted or anonymised.

Website analytics data is kept for the retention period set on our Google Analytics property, after which Google deletes it. The cookies it sets in your browser expire on their own, and you can delete them sooner from your browser settings at any time.

We keep an onboarding application for 24 months from the day you send it, if it does not lead to an account. If it does lead to an account, we keep it for as long as that account exists, because it is the record of how the business was taken on. You can ask us to delete it sooner using the contact details in the company details section below, and we will unless we are required to keep it.

The IP address and browser information sent with an application live only in the notification email, so they are kept for as long as we keep that email and no longer. They are not written into the stored application, and deleting the application does not depend on them.

Your rights

Depending on where you are, you may have the right to ask us for a copy of the personal data we hold about you, to have it corrected, deleted or restricted, to object to its use, or to receive it in a portable format. You can exercise any of these rights by writing to the contact address in the company details section below.

You also have the right to complain to a data protection supervisory authority. The authority for this website, and our current registration position with it, are given in the company details section below.

Children

This website is not directed at children, and we do not knowingly process personal data belonging to a child.

Changes to this policy

We may update this policy from time to time. The version and effective date at the top of this page tell you which version applies.

Planramp is a service by Toolramp GmbH. The company responsible for this website, its address and the route for reaching it are set out below.

The supervisory authority for this website is the Information Commissioner's Office. Most controllers processing personal data for business purposes must pay the ICO's data protection charge and be entered on its register of fee payers, subject to exemptions. Whether that applies to the processing described in this policy is being confirmed, and the row below states the current position rather than a conclusion.
